Best Equipment Rental Company Software in 2026 (Ranked)

11 min read

For most small and mid-size rental yards, QuoteIQ is the equipment rental company software I'd start with in 2026, and I say that as its co-founder who runs All American Pressure Cleaning on it. It quotes jobs, schedules deliveries and pickups, collects deposits and gets invoices paid from a phone, starting at $29.99 a month. It is not a rental-inventory engine, so if serial-level fleet availability is your biggest problem, skip ahead to Point of Rental, EZRentOut or Booqable.

TL;DR

  • QuoteIQ (#1): $29.99/mo. Best for quoting, delivery scheduling, deposits and invoicing. Inventory tracking starts on Elite ($299.99).

  • Point of Rental (#2) and Wynne Systems (#7): quote-based platforms built for full-service stores and large dealer fleets.

  • Quipli (#3) and EZRentOut (#4): rental-native systems with unit tracking and maintenance, billed annually.

  • Booqable (#5) and Rentman (#6): lighter rental tools for online booking and crew-heavy jobs.

  • Jobber (#8): a general field-service app, listed because many yards compare it with QuoteIQ.

How I Picked These

I own All American Pressure Cleaning and co-founded QuoteIQ, so you know where I stand: QuoteIQ is #1 because it's what I run my own jobs on. I don't run a rental yard, and I haven't used the other seven tools, so everything I say about them comes from their published pricing and feature pages, checked October 2026. What I weighed: the price for a crew of two to ten, how fast a quote goes out from a phone, whether delivery and pickup scheduling works from a truck, whether the vendor publishes a price at all, and whether a tool tracks individual units or just jobs. I used standard month-to-month pricing where a vendor shows it and say so where it doesn't. This ranking is for small and mid-size rental operators first, with a clear note on where a bigger rental platform beats QuoteIQ.

1. QuoteIQ — Best Overall for Small Equipment Rental Companies

What it is

QuoteIQ is a field-service CRM that I co-founded. It puts quotes, e-signed estimates, scheduling, invoicing, payments and customer records in one app on your phone. For a rental company it covers the job side: quote the rental package, schedule the delivery and the pickup, require the deposit, bill the customer. It does not run a per-unit rental calendar. Find it at myquoteiq.com.

Pricing

Month-to-month pricing is $29.99 for Essentials (1 user), $99.99 for Beginner (2 users), $199.99 for Pro (4 users), $299.99 for Elite (10 users) and $699.99 for Max (20 users). Extra users are $25 a month each, and every plan has a 14-day trial. Annual billing is 12 months for the price of 10. The numbers are on QuoteIQ's pricing help article.

Where it fits

Yards of roughly two to ten people whose day is deliveries, pickups and service calls: tool and small-equipment rental, trailers, party and event gear. Dispatching trucks is the same puzzle I cover in best dispatch software for towing companies, and if you also haul away material, my junk removal software roundup applies. Route Optimization and Route Density, which I compare in route density or route optimization, come with Elite and Max.

Tradeoffs

There is no serial-number tracking and no availability calendar by unit, so it won't stop a double booking on a specific machine. Inventory tracking covers stock, locations and suppliers, and it sits on Elite and Max. If your business is counter rentals by the hour, pick one of the rental platforms below. Want to see it run? Book a QuoteIQ demo.

"This app is very helpful, being able to simplify things makes transactions go smoother." — Derek Noll (Google Play review)

2. Point of Rental — Best for Full-Service Rental Stores

What it is

Point of Rental calls itself "Rental management software for equipment, tools, events, and specialty rentals." Its homepage lists inventory and rental tracking, GPS tracking and telematics, maintenance and work orders, invoicing and accounting, a built-in CRM, an eCommerce storefront and a mobile app.

Pricing

Not published. The pricing page says pricing is based on your needs and points you to "Get Pricing." Products named there: Essentials, Elite, POR One, eCommerce, Record360 and Rental Intelligence Suite. Checked October 2026.

Where it fits

Stores with counter traffic, several equipment categories and an accountant who wants rental-native invoicing and reporting. If you run a yard with a showroom and a fleet of mixed gear, this is the category you're shopping in.

Tradeoffs

No public price means you can't budget until you've talked to sales, and you won't know setup time until then either. It is also more system than a three-truck yard needs.

3. Quipli — Best for Multi-Location Rental Operations

What it is

Quipli sells rental software priced per location with unlimited users. Core covers an online storefront and customer portal, booking, scheduling and inventory, checkout, service and dispatch, invoicing, QuickBooks sync, GPS tracking and ID verification. The Plus tier adds AI agents for prospecting and a voice receptionist, along with an equipment rental CRM.

Pricing

The pricing page shows Core at $6,000 per year per location and Plus at $10,000 per year per location. There is no monthly option on the page, and companies with several locations are told to contact Quipli for rates. Checked October 2026.

Where it fits

Established rental stores that want POS, dispatch, GPS and a customer portal in one system, and can commit for a year per location.

Tradeoffs

It's an annual commitment, roughly $500 a month if you spread Core out, versus $29.99 to start with QuoteIQ. A small yard probably won't use the AI prospecting that justifies the Plus tier.

4. EZRentOut — Best for Equipment-Heavy Rental Teams

What it is

EZRentOut says it connects availability, orders, maintenance, billing and accounting, and names construction, oil and gas, dumpster and trailer, medical, audio/video and event rental among its customers. The page lists equipment tracking, maintenance work orders triggered by time, usage or return, a rental webstore, and a mobile app for rent-outs, returns and damage photos.

Pricing

The pricing page shows Growth at $399 a month and Premium at $499 a month, both marked "Billed Annually," with unlimited inventory and extra users at $20 each. Enterprise is custom. No month-to-month price is shown. Checked October 2026.

Where it fits

B2B rental teams, especially in construction, that need maintenance records and damage documentation tied to each unit.

Tradeoffs

The entry price is more than ten times QuoteIQ's, and it's billed annually. If most of your work is quotes and service calls rather than unit tracking, you'd pay for features you don't touch.

5. Booqable — Best for Small Shops Taking Online Bookings

What it is

Booqable calls itself "The modern rental software for every business." Its homepage names an online booking page and website builder, real-time availability tracking, double-booking prevention, payments and deposits, quotes and invoices, rental contracts with e-signatures, barcode scanning and a mobile point of sale.

Pricing

The pricing page advertises plans from $29 a month and says yearly plans save 20%. It doesn't say which billing period the $29 assumes, so I'm not quoting a month-to-month price; confirm it before you buy. Plans are Start, Grow and Scale. Checked October 2026.

Where it fits

Small rental shops that want customers to book and pay online, with availability checked automatically.

Tradeoffs

The homepage doesn't mention route planning or crew dispatch, so check that before you buy if your day is delivery-heavy. And because the page doesn't label the billing period behind the $29, your real monthly cost is a question for Booqable.

6. Rentman — Best for Crew-Heavy Rental Jobs

What it is

Rentman covers CRM, project and equipment scheduling, packing lists, shortages and subrentals. Its Crew module adds crew scheduling, transport scheduling, time tracking and a crew app.

Pricing

The pricing page shows a EUR 39 monthly platform fee, with Inventory Standard at EUR 14 per power user and the Quoting and Invoicing add-on at EUR 9 per power user. Basic users are free. Prices show in euros by default with a USD toggle, yearly billing saves 8%, and there is a free 30-day trial. Checked October 2026.

Where it fits

Rental companies whose jobs are projects with crews, transport and packing lists rather than counter transactions.

Tradeoffs

Modules stack, so your real monthly price depends on how many power users and add-ons you build, and euros are the default display.

7. Wynne Systems — Best for Large Dealers and Fleets

What it is

Wynne Systems has been selling rental ERP since 1991, through RentalMan, RentalResult and EquipFlows. Its solutions page lists logistics and dispatching, service prioritization, e-commerce, customer portals and mobile apps, and says most of North America's top 10 rental companies choose it.

Pricing

Not published. The page sends you to "Schedule a Call" and "Contact Us." Checked October 2026.

Where it fits

Dealers and large heavy-equipment, crane and aerial fleets, including a CAT dealer rental suite. This is the high end of the U.S. construction, industrial and general tool rental market, which the American Rental Association expects to reach $83.5 billion in 2026.

Tradeoffs

Quote-only and built for scale, so it is far more than a small yard needs and you'll sit through a sales process to find out what it costs.

8. Jobber — Best Field-Service Alternative

What it is

Jobber is a general field-service tool, not a rental-inventory system. I include it because plenty of yards that deliver and service equipment compare it with QuoteIQ. I break the two down in Jobber vs QuoteIQ and add Housecall Pro in QuoteIQ vs Jobber vs Housecall Pro.

Pricing

Month-to-month on the pricing page: Core $49 (1 user), Connect $139 (1 user) and Grow $199 (1 user), with higher tiers bundling 5, 10 or 15 users. Annual billing saves up to 25%. Checked October 2026.

Where it fits

Service-heavy outfits that quote, schedule and invoice jobs and don't need rental availability tracking.

Tradeoffs

It has no rental availability calendar either, and its prices climb with user count. At one user, Core costs $49 against QuoteIQ's $29.99.

What Operators Say

My review database has no equipment-rental reviewers yet, so these two are from QuoteIQ users on Google Play. Neither says they run a rental yard. They describe the quoting-and-billing side that QuoteIQ handles for a rental company.

"This app is incredibly easy to use and very professional." — Carlos Martinez (Google Play review)
"It makes it easy to feel under control while being able to focus on what really matters..." — Jami Schnakenberg (Google Play review)

Frequently Asked Questions

What is the best equipment rental software in 2026?

It depends on what's hard in your day. If the hard part is quoting, scheduling deliveries and getting paid, I'd start with QuoteIQ, which I co-founded, from $29.99 a month. If it's unit-level availability, counter checkout and maintenance, look at Point of Rental, EZRentOut or Booqable, and at Wynne Systems once you're a dealer-scale fleet. Most rental-native vendors publish only annual or quote-based pricing, so price one against your fleet size before you sit through a demo. A cheaper tool that fits your day beats an expensive one you work around. For planning delivery days, my route density or route optimization post helps.

How much does equipment rental software cost?

It ranges from $29.99 a month to more than $6,000 a year per location. Checked October 2026: QuoteIQ runs $29.99 to $699.99 a month, Jobber $49 to $199 for one user, EZRentOut $399 or $499 a month billed annually, and Booqable advertises plans from $29 a month. Rentman charges a EUR 39 platform fee plus per-user modules, and Quipli is $6,000 or $10,000 a year per location. Point of Rental and Wynne Systems don't publish prices, so budget for a sales call. Per-user pricing changes the math quickly: QuoteIQ bundles 1 to 20 users per plan and charges $25 a month for each extra user, Jobber's higher tiers bundle 5, 10 or 15 users, and Rentman charges per power user for each module, so count your office and dispatch seats before you compare.

Can a field service CRM run an equipment rental company?

Partly. A CRM like QuoteIQ handles the quote, the e-signed estimate, the delivery and pickup schedule, the deposit and the invoice. It doesn't track serial numbers or block a double booking on a specific machine, and Jobber doesn't either. If you rent a few items and do most of your money in service and delivery, a field-service CRM is enough. If you rent dozens of units that must never double-book, add or choose a rental platform such as Booqable, which lists double-booking prevention on its homepage. My three-way comparison of QuoteIQ, Jobber and Housecall Pro shows where field-service tools differ.

What features should equipment rental software have?

Start with real-time availability so you never promise a unit that's out. Then look for contracts with e-signatures, deposits and payments, maintenance work orders, damage photos at return, and accounting sync. EZRentOut ties maintenance to time, usage or return triggers and lets staff photograph damage on a phone. Point of Rental lists GPS and telematics and an eCommerce storefront, and Quipli adds QuickBooks sync, GPS tracking and ID verification. Rank the list by what costs you money today, whether that's double bookings, idle gear or unbilled damage. Skip anything you won't use in your first 90 days, because every extra module is something your crew has to learn.

How do rental companies reduce idle equipment and unbilled damage?

Measure utilization first, then document condition at every return. In its March 2026 benchmark report, which covers UK and Irish hire companies, rental software vendor Klipboard found that over half of construction plant and tool hire operators run utilization below 70%, only 16% pass 80%, and 39% name unbilled damage a leading source of lost revenue. Photograph each unit at rent-out and return, as EZRentOut's mobile app does, and use a tool like Quipli's rental utilization calculator to find your own number. Utilization is the share of time a unit is out earning, so a few more rental days per unit adds revenue without buying new gear.

How big is the equipment rental industry in 2026?

The American Rental Association forecasts that U.S. construction, industrial and general tool rental revenue will rise 3.4% in 2026 to $83.5 billion, then grow 4.4% in 2027 and 5.1% in 2028, according to the Rental Equipment Register's August 24, 2026 report. An earlier ARA forecast reported in May had put 2026 growth at 3.6%, so the figure moves each quarter. The size of the market is why rental-specific vendors like Wynne Systems and Point of Rental exist, and why a smaller yard has so many software choices to sort through. For a small operator the useful takeaway is steady growth, not a boom, so pick software that saves labor today instead of one built for a fleet you don't own yet.

How do equipment rental companies collect deposits and get paid?

Require the deposit on the estimate, take the balance on delivery or return, and bill the rest. QuoteIQ supports deposit requirements on estimates, partial payments, saved cards on a customer's profile, in-person card reader payments, and a QuickPay link you can text for a partial payment. Booqable lists payments and deposits on its homepage, and Quipli lists payments and invoicing in Core. For haul-away or delivery fees billed after the job, my junk removal software roundup shows how a field-service app handles it. Whichever tool you use, write your deposit and damage terms into the estimate itself so the customer signs off on them before the equipment leaves the yard.

Which equipment rental software offers a free trial?

QuoteIQ gives every plan a 14-day trial with 250 IQ Credits, and a credit or debit card is required to start. Rentman lists a free 30-day trial on its pricing page. Point of Rental and Wynne Systems route you to a demo or a sales call instead, and EZRentOut doesn't mention a trial on its pricing page. Whichever tool you pick, load a real week of deliveries and pickups into it during the trial and see whether your crew actually uses it. A trial is also the cheapest way to learn whether your crew will tap through a quote on a phone in the truck, and tools billed annually commit you for the term, so ask each vendor what happens if you cancel before the first renewal.

Bottom Line

If you run a small yard that lives on deliveries, pickups and service, QuoteIQ gets you quoting, scheduling and getting paid from a phone for $29.99 a month, and I'd put my own jobs on it again. If unit-level availability or maintenance is what's costing you money, pick a rental platform from the list and price it before you commit. Either way, load one real week of rentals into a trial first. You can see QuoteIQ in a demo.
