Best Customer Database Software for HVAC Companies (2026)

Oct 16
11 min read

The best customer database software for an HVAC company is the one that keeps every customer, every tag and every past visit in one record your techs can open in the truck, and in 2026 I'd put QuoteIQ first for owner-led crews. I co-founded QuoteIQ and run my own pressure washing company out of it, so I'm telling you where I stand up front. HVAC isn't my trade, and I haven't used the other seven tools here, so their facts come from their own pricing and help pages. If you also want equipment and service-visit records, my HVAC service history software roundup covers that, and this one is about the customer list itself.

TL;DR

  • QuoteIQ starts at $29.99 a month, and the client database, tags and customer history are on all five plans.

  • Jobber is the pick if one customer has several properties, because its import takes one row per property.

  • Housecall Pro has the most detailed customer profile I could document, starting at $79 a month.

  • FieldEdge includes customer management and history on every plan, but you have to request a quote.

  • Workiz includes client custom fields on every plan and also quotes by request.

  • ServiceTitan fits big multi-truck shops, and Service Fusion and Markate round out the list.

How I Picked These

I weighed four things for an HVAC owner: what a customer record can hold, how easily you can import your list and get it back out, whether techs can see history on a phone, and what it costs. Competitor figures come from each vendor's own pricing page and help center, read in October 2026. Where a page doesn't name a feature, I say so instead of guessing. I use QuoteIQ and I co-founded it, so the ranking is my position, not a scored test, and I haven't used the seven others. I left out tools whose pages gave me no customer-record detail or no pricing I could read, and I scored nothing on a point system, because the facts I could verify were too uneven for that. Prices are standard monthly rates, not annual-prepaid figures.

Budget CRM basics

1. QuoteIQ — Best Overall for HVAC Customer Records

What it is

QuoteIQ is the field service CRM I co-founded. Its client database holds contact details, a property address with map and satellite views, lead source, custom fields and a customer-since date. You can tag customers (VIP, Residential, Commercial, Repeat Customer) and add unlimited notes for gate codes or pets. Estimates, invoices, payments, scheduled jobs, messages, QuoteIQ Cam photos and inspection forms link to the record automatically. You can filter by tag, lead source, service date or outstanding balance.

Pricing

Essentials is $29.99 a month for one user, Beginner $99.99 for two, Pro $199.99 for four, Elite $299.99 for ten and Max $699.99 for twenty, with extra users at $25 each, per the QuoteIQ pricing page. The client database, tags, customer history, contact import and data export are listed on every plan. Photo history starts at Beginner.

Where it fits

It fits an owner who wants one customer list that feeds quotes, invoices and scheduling, plus an import that maps columns for you and flags duplicates before anything lands. Since September 2026 a customer can also hold additional contacts, so a landlord, tenant and property manager can all get the estimate. Try it with a demo.

Tradeoffs

The client database page describes one property address per contact card, and I found no multiple-property setup documented, which Jobber handles better. I also found no dedicated installed-equipment register, so unit details go in custom fields. Extra users cost $25 each, and role-based control of financial data starts at Elite.

"Best app out there for pressure washing client management!" — Brian Shuppe (Google Play review)

2. ServiceTitan — Best for Large Multi-Truck Shops

What it is

ServiceTitan is the heavyweight HVAC platform. Its HVAC page says the mobile app gives technicians access to customer histories and previous work orders, and it describes maintenance agreements that automate recurring visits and payments.

Pricing

The ServiceTitan pricing page shows Starter, Essentials and The Works with a "Request Pricing" button and per-technician pricing, so I can't print a figure.

Where it fits

It suits a shop with many trucks and an office team that wants one system for dispatch, memberships and reporting, and is willing to sit through a sales process to get there.

Tradeoffs

The HVAC page doesn't describe the customer record's fields, tags or import and export, so ask for those in the demo. No published price means you can't compare it to anything else before you talk to sales.

3. FieldEdge — Best for History Plus Memberships

What it is

FieldEdge pitches full customer history and service context in its mobile app, and it markets service agreements as a core strength for HVAC teams.

Pricing

The FieldEdge pricing page lists Select, Premier and Elite with no dollar amounts, saying cost depends on technician count, employee count and add-ons. It shows Customer Management and Customer History on all three plans, and the consumer portal as call-for-pricing on Select and Premier and included in Elite.

Where it fits

It fits an HVAC shop that already thinks in memberships and wants customer history on every plan, and doesn't mind requesting a quote.

Tradeoffs

The plan table doesn't list an equipment record, and there's no published price. The consumer portal is an extra on the two lower plans.

4. Housecall Pro — Best for Small Crews That Want a Clean Profile

What it is

Housecall Pro keeps a customer profile with contact and billing details, referral info, a Do Not Service flag, tags for grouping and reporting, tabs for estimates, jobs, invoices, attachments and notes, an activity feed, and private notes you can scope to a customer, job or single address, per its help center.

Pricing

The Housecall Pro pricing page lists Basic at $79 a month for one user, Essentials at $189 for five and Max at $329 for eight, with extra Max users at $35 and lower annual rates shown beside them.

Where it fits

It suits a small crew that wants a tidy customer profile and a self-serve import. Its import and export guide accepts Excel and CSV files and maps columns in a wizard. Exports arrive by email as CSV.

Tradeoffs

Only one customer level imports, so child accounts are skipped, and only admins can export. The help article I read doesn't cover custom fields or duplicate merging, and the pricing page doesn't say which plan includes which customer feature.

5. Jobber — Best When One Customer Has Several Properties

What it is

Jobber keeps a client manager that stores client details, tags and a history of past jobs, requests, quotes and invoices.

Pricing

The Jobber pricing page shows month-to-month Core at $49 for one user, Connect at $139 for one user or $199 for five, Grow at $199 or $299, and Plus at $499 for five, with extra users at $29.

Where it fits

Jobber is the best fit here if you manage landlords or property managers with many addresses. Its import guide says to add one row per property, and it accepts tags, notes and lead source. Its export guide offers CSV or vCard files filtered by tag.

Tradeoffs

Imports are capped at 2.5 MB, roughly 5,000 rows, and only text-based custom fields import. The import guide doesn't describe duplicate detection, and client export is limited to select plans. See my Jobber vs QuoteIQ breakdown for the full cost comparison.

6. Service Fusion — Best for Unlimited Users

What it is

Service Fusion lists Customer Management on all plans, and its HVAC page says techs can reach customer information and job history from the road and that service agreements can be signed electronically inside an estimate.

Pricing

The Service Fusion pricing page shows Starter at $245, Plus at $382 and Pro at $627 a month, all with unlimited users and no contract, and about 15 percent less on annual billing.

Where it fits

It fits a larger crew where per-user fees would add up and the flat monthly rate is worth it.

Tradeoffs

The entry price is more than eight times QuoteIQ's, and the pricing page doesn't mention customer history, equipment records or a free trial, only a demo.

7. Workiz — Best for Custom Client Fields

What it is

Workiz says you can record each unit your team installed or serviced, with identifying details, install timing and repair history, and run text and email campaigns to past customers.

Pricing

The Workiz pricing page lists Standard, Pro and Ultimate with no dollar amounts, a 7-day trial, unlimited clients on every plan and client and job custom fields on every plan.

Where it fits

It suits an HVAC shop that wants custom fields for equipment details without climbing tiers, and is fine requesting a quote.

Tradeoffs

There's no published price, and roles and permissions are missing from the Standard plan, which matters when you decide who can see customer data.

8. Markate — Best for Budget CRM Basics

What it is

Markate advertises an all-in-one CRM and customer organizing tools, and its pricing page lists Customer Management on every plan.

Pricing

The Markate pricing page shows Owner Operator at $49.95 a month, or $45.95 billed yearly, with $5 per additional employee and a 14-day trial.

Where it fits

It fits a one-truck shop that needs a simple customer list at a low monthly price.

Tradeoffs

The pricing page doesn't say how many users the base price covers, and it doesn't describe customer history, tags or equipment records. Its home page doesn't mention HVAC.

What Operators Say

None of these reviewers is tagged as an HVAC contractor in my reviews database; two are tagged pressure washing and one is untagged. Their notes are about client management and staying organized, which is why I picked them.

"Works well, and keeps me organized." — Keegan Hall (Google Play review)
"My company Raleigh Pressure Washing, LLC understands the importance of a quality, CRM and invoicing system." — Matt Stan (App Store review)

Frequently Asked Questions

What is the best customer database software for HVAC companies in 2026?

For an owner-led HVAC crew, I'd start with QuoteIQ, which puts a client database, tags and customer history on all five plans from $29.99 a month. I co-founded it, so weigh that. If one customer has several properties, Jobber is a strong alternative, and large shops with many trucks should price ServiceTitan or FieldEdge, though both require a quote. Compare import, export and tags before you decide, because moving a list later costs real time. My best HVAC software roundup covers the wider platform question. Whichever tool you pick, load a real customer list during the trial and open a few records from your phone, since that is where your techs will use it.

How much does HVAC customer database software cost?

Published standard monthly prices in this list run from $29.99 for QuoteIQ Essentials to $245 for Service Fusion Starter. Jobber Core is $49 for one user, Markate is $49.95 and Housecall Pro Basic is $79. Extra users add $25 at QuoteIQ and $29 at Jobber. ServiceTitan, FieldEdge and Workiz don't publish prices. Per-user fees move the total once you pass two techs, so price your real headcount instead of the entry plan. For three people, QuoteIQ Beginner plus one extra user is $124.99 a month, and Jobber Core with two extra users is $107. I read every price in October 2026, so confirm before you buy.

What should an HVAC customer database store?

At minimum, store every contact and service address, a tag for customer type (residential, commercial, landlord), the lead source, notes such as gate codes or pets, and a history of estimates, invoices, payments and visits. HVAC adds maintenance dates and per-unit details like model and install date, which many tools keep in custom fields. The Bureau of Labor Statistics counts about 440,900 HVAC mechanics and installers, so techs are scarce and a record they can read on a phone in the truck saves real time. Keep one record per customer with the property address on it, so a callback never starts with a phone call asking where the unit is.

Can I import my existing customer list into new HVAC software?

Yes, every tool here that documents an import accepts a spreadsheet. Jobber takes CSV, TSV or PSV files under 2.5 MB and wants one row per property. Housecall Pro accepts Excel and CSV and maps columns in a wizard. QuoteIQ accepts CSV with AI-assisted column mapping you can review, an import preview and duplicate flagging. Clean the list first: merge duplicates, split name and address columns, and give each phone number its own column. Then import a small batch and spot-check ten records. Most import trouble comes from messy columns, not the software, so ten minutes of cleanup can save you an afternoon of fixing records later.

Can I export my customer list if I switch HVAC software?

Check before you sign, because export rules differ. Jobber exports clients as CSV or vCard, filtered by tag, but only on select plans and only for admins. Housecall Pro emails a CSV and limits export to admins. QuoteIQ lists data export on every plan on its pricing page. Ask any vendor for a sample export during the trial, so you know what comes out, in what format, and whether notes, tags and addresses survive. Do this before you cancel the old system, not after, so nothing is lost if the file turns out to be incomplete or the old login stops working. Your customer list is the most valuable data your business owns, so keep a dated backup copy each quarter.

Is a CRM the same as a customer database for an HVAC business?

Not quite. A customer database is the record of who you serve and what you've done for them. A CRM adds the workflow on top: follow-ups, quotes, reminders and campaigns. Most HVAC field service tools bundle both, and the database is the foundation, since every automation reads from it. A Harvard Business Review article says winning a new customer can cost 5 to 25 times more than keeping one, which is why clean records and maintenance follow-ups pay off. See my growing HVAC company CRM roundup for the workflow side. Start with the records, because a CRM layered over messy data only automates the mess and sends reminders to the wrong people.

How do I keep HVAC customer records clean and free of duplicates?

Start with a clean import file, then set team rules: search before you add a customer, use one tag list and keep notes in one place. QuoteIQ flags duplicates during imports and warns when the same phone number is entered twice, and Housecall Pro highlights error rows before you submit. Jobber's import guide doesn't describe duplicate detection, so dedupe your file first. Review the list each quarter, because IBISWorld counts 120,461 HVAC contractor businesses in 2026, and customers who move or switch providers leave stale records behind. Merge or archive those so your reports and reminders stay honest and your texts reach the right people.

How do I start a QuoteIQ trial for my HVAC company?

Pick a plan on the QuoteIQ pricing page, create your account and import your customer list from a CSV. Every plan includes a 14-day trial, and a credit or debit card is required to start. Use the trial to import a real list, add tags, open a customer record from your phone and test an export. If you want a walkthrough first, book a QuoteIQ demo and ask about HVAC maintenance setups. Pricing starts at $29.99 a month on Essentials, with extra users at $25 a month. You can choose any plan for the trial, so try the one you would actually run, and test with your real list rather than sample data, so you see how the import handles your messiest records.

Bottom Line

If you run an HVAC crew and want one customer list that feeds quotes, invoices and scheduling without a sales call, start with QuoteIQ. I co-founded it, and I'd put my own customers in it, which is why it's first. Jobber is the honest pick if one customer has many properties, and ServiceTitan or FieldEdge make sense when you're big enough to want a quote and a rollout. Whatever you pick, import a real list during the trial and export it back out. Book a QuoteIQ demo if you want to see the client database in action.
